At ITA Group, weâre looking for a Pharma Event Manager to lead the execution of external-facing programsâincluding Advisory Boards, Investigator Meetings, Speaker Trainings, and Congress engagements for life sciences clients.
What Youâll Own
- End-to-end execution of external meetings, ensuring quality, compliance, and timelines are met
- Collaborate with cross-functional teams (registration, communications, travel, analytics, etc.) to deliver seamless programs
- Act as a key client contact, providing strategic guidance and consistent communication
- Manage complex program budgets, including forecasting, invoicing, reconciliation, and cost control
- Lead vendor sourcing, contracting, and negotiations across hotels, AV, and ground transportation
- Oversee compliance requirements for HCPs, KOLs, and international attendees, including reporting and regulatory guidelines
- Monitor attrition, meal caps, and global policies to ensure program compliance and minimize risk
- Review and approve all client-facing deliverables (proposals, communications, reporting, etc.)
- Drive internal team alignment and lead program execution with accountability and clarity
- Identify opportunities for process improvement and program optimization
What You Bring
- Experience managing external meetings/events in life sciences (HCP/KOL engagement strongly preferred)
- Ability to navigate global programs and multi-country attendee requirements
- Strong financial acumen (budgeting, forecasting, profitability management)
- Confidence in client-facing communication and presentations across stakeholder levels
- Proven success in vendor negotiation and supplier management
- Ability to manage multiple programs simultaneously with strong attention to detail
- A proactive, solutions-oriented mindset with a strong sense of ownership and accountability
